Supply Management Assistant

Open position: Supply Management Assistant


Job Summary: 

Coordinates movement of all goods, both inbound and outbound.  Assist the Supply Chain Manager with various administrative and analytical activities as necessary.  Collaborate daily with sales, supply management, and production personnel to ensure internal and external stakeholder satisfaction. 

Essential Duties and Responsibilities:

  • Quote, book, and track all large LTL and TL freight with established carriers; select additional flatbed carriers as necessary to maintain product flow.
  • Coordinate rush/emergency logistics arrangements; negotiate any related fees as necessary.
  • File and track all carrier damage claims, following-through to financial resolution.
  • Communicate, resolve, and escalate carrier performance issues as necessary, making suggestions to the Supply Chain Manager for long-term resolution.
  • Complete necessary import/export documentation for international shipments.
  • Review, audit, and approve all freight billing in a timely fashion, resolving financial discrepancies as necessary.
  • File and track all freight claims, using the established workflow process, and see through to resolution.
  • Maintain carrier-performance reports and other logistics metrics in alignment with management strategies.
  • Resolve minor invoice discrepancies, using the established workflow process, and route to buyers for more in-depth review when necessary.
  • Assist buyers with quarterly pricing adjustments, including updating indexed pricing agreements and adjusting pricing on blanket purchase orders.
  • Assist with simple MRO procurement.
  • Maintain supplier/carrier contact and remittance information.
  • Assist with monthly and quarterly data compilation, reporting, and associated part/supplier parameter adjustments.
  • Occasionally work with Supply Chain Manager to review all logistics related processes and make recommendations as necessary for improvement.
  • Make recommendations as necessary regarding urgent carrier selection changes required due to changes in performance.
  • Ensure all necessary carrier liability insurance documentation is obtained and up-to-date.
  • Assist/advise Supply Chain Manager with corporate carrier selection and negotiation of long-term carrier agreements.
  • Adheres to and supports 5S 1.
  • Adheres to and supports ISO 9001:2015 standards.
  • Performs other duties as assigned.


  • High school diploma required; Associate’s or Bachelor’s degree in a related field of study preferred. A comparable combination of education and experience will be considered.
  • Proficient in Microsoft Office products and the ability to become proficient in other required software as indicated, including but not limited to, the Company ERP system and various web-based carrier portals.
  • Strong understanding of basic inventory and accounting transactions and associated financial implications.
  • Basic understanding of common logistics practices, necessary documentation, governmental regulations and financial transactions.
  • Must have excellent and demonstrated communications skills, both verbal and written; for safety, performance, and productivity, must be able to read, write, and speak English.
  • Analytical and problem solving skills required.
  • Ability to deal effectively with a variety of people and situations.
  • Ability to analyze and make recommendations toward process improvement.
  • Must be organized, able to multitask, prioritize work and meet deadlines; ability to work independently with minimal supervision.
  • Constant commitment to teamwork with a willingness to adapt to changing situations and projects.



Physical Requirements and Work Environment:

  • This job is primarily sedentary but requires intermittent standing, walking, stooping, kneeling, twisting, turning, reaching, grasping/gripping, and climbing.
  • This position requires the physical abilities and dexterity to operate all standard office equipment, including but not limited to: computers, keyboards, telephone, scanners, fax machines, copy machines, calculator.
  • This position requires visual, verbal and hearing acuity: must have vision ability to perform work and see a computer screen or written material; must be able to talk and hear with the ability to answer the telephone or communicate in person. 
  • Ability to work a non-standard schedule when required.
  • Must be able to lift up to 15 pounds at a time.
  • Work is typically performed in a temperature controlled environment.
